Terms of Service

Last updated 2026

This is a plain-language starting template, not a substitute for review by an actual attorney. Because Mound HQ is used to store information about student-athletes, some of whom are minors, we'd strongly recommend having this reviewed by a lawyer familiar with youth-sports and privacy law before relying on it. Contact [email protected] with any questions in the meantime.

1. What Mound HQ is

Mound HQ is a tool for baseball and softball programs, pitching labs, and travel teams ("Organizations") to track player development data, such as stats, videos, and TrackMan reports, and to optionally make an athlete's profile visible to college recruiters. An Organization signs up, invites its own coaches, players, and parents, and controls its own private space on the platform. We don't sell anything on the site, and there's currently no paid subscription; that may change in the future, and this page will be updated if it does.

2. Who can use it, and who's responsible for what

Accounts are created by an Organization (typically a coach or program director) inviting its own players, parents, and staff. If you are an Organization, you're responsible for having the right to add each player's information (including a minor's information) to the platform, and for getting whatever consent from a parent or guardian your own program, league, or state law requires before doing so. Mound HQ doesn't independently verify this; we're providing software to organizations that already have a relationship with the families they're adding.

If you're a parent or player and believe your (or your child's) information was added without appropriate permission, contact us at [email protected] and we'll help sort it out with the Organization or remove it.

3. Accounts and access

  • Keep your password to yourself. You're responsible for activity that happens under your login.
  • Organization admins can add, edit, and remove data within their own Organization; that access is meant to be used to manage that Organization's own roster, not anyone else's.
  • We may suspend or remove an account or an Organization that violates these terms, is used to harass or endanger anyone, or is used for anything illegal.

4. Content you upload

You (or your Organization) own the stats, videos, photos, and other content you upload. By uploading it, you're giving Mound HQ permission to store it, display it back to your Organization's own users, and, if a player opts in to recruiting visibility, to display that player's opted-in stats and video to approved college coaches browsing the recruiting portal. We don't use your content for anything beyond operating the product, and we don't sell it or share it with advertisers.

Don't upload anything you don't have the right to upload, anything that violates someone else's privacy, or anything illegal.

5. The recruiting portal

A player's stats and video are only visible to college coaches on the recruiting portal if that player (or their parent/guardian, for a minor) explicitly turns on recruiting visibility from their profile. Coaches who want access to the recruiting portal are approved individually by the platform operator before they can see anything. Turning recruiting visibility off removes a player from the portal going forward.

6. No warranty

Mound HQ is provided "as is." We work to keep it running and your data backed up, but we can't guarantee the service will be uninterrupted or error-free, and we're not liable for data loss, missed recruiting opportunities, or other damages arising from your use of the site, to the fullest extent the law allows.

7. Changes to these terms

We may update these terms as the product changes. If we make a material change, we'll update the date at the top of this page.
